How to follow up leads fast with WhatsApp
The first business to reply usually wins the job. This is the playbook we use on our own firm: how to follow up leads on WhatsApp, what to say and how to automate the chase.
Free 20-minute call. No contracts pushed. Takes 30 seconds.
Why minutes matter
When someone fills in a form or sends a message asking for a quote, they usually ask two or three firms at once. They are on their phone, the problem is fresh, and they want it sorted. The first business that replies sounds keen, sounds organised and often gets the job.
That is the whole idea behind speed to lead. You do not need a better price or a fancier van. You need to be first, and to be easy to deal with. Whether you are a one-van tradesman or a small team, knowing how to follow up leads on WhatsApp is the cheapest way to get there.
Here is the short version.
- Get the lead alert to your phone in seconds
- Ring first, because a voice beats a message
- Send a WhatsApp if they do not answer
- Chase politely for a week, then stop
- Automate the boring parts for when you are on the tools
We run an exterior cleaning firm ourselves, and we have watched this play out on our own diary. Our roof cleaning ad brought in 38 leads in two weeks at £7.42 each, and those leads turned into £8,450 of booked roof cleaning jobs. Leads that cost money to buy are wasted if nobody answers them fast.
If you want a hand, our WhatsApp lead alerts do the first step for you. Read on for the rest.
Get the lead to your phone instantly
You cannot follow up a lead you have not seen. Many firms still find enquiries in an email inbox at the end of the day, or in a spreadsheet at the weekend. By then the customer has booked someone else.
The fix is simple. Every new lead should buzz your phone the moment it arrives, with everything you need to act on it. That means the name, the mobile number, the postcode and the job, all in one message you can tap.

- The customer's name, so you can open the call properly.
- A mobile number you can tap to ring.
- The postcode or town, so you know straight away if it is in your area.
- The job in their own words.
- The time it arrived, so you know how long they have been waiting.
Why WhatsApp and not email
Most owners check WhatsApp all day. Email gets checked when there is a gap. A notification you already look at is far more likely to get a reply inside minutes. It also keeps the lead and your whole conversation with the customer in one thread.
Our instant WhatsApp lead alerts send each new enquiry from your ads and website straight to your phone. If you are still working out where your leads should come from, our guide on cost per lead for UK trades shows how to judge it.
Call first, then WhatsApp
Our order is always the same. Ring first. If there is no answer, send a WhatsApp straight away.
A phone call is the fastest way to find out what the customer really needs and to book a visit. You hear their tone, you answer questions on the spot, and you can often lock in a date before they ring anyone else. A message cannot do that.
But people do not always answer unknown numbers, especially at work. That is where WhatsApp earns its place. A short, friendly message gets read when they next glance at their phone, and they can reply in their own time.
The simple routine
Alert lands
Your phone buzzes with the name, number, postcode and job.
Ring within minutes
Introduce yourself, confirm the job and offer a time for a visit or quote.
No answer? WhatsApp
Send a short message that names the job and asks one easy question.
Note the outcome
Booked, quoted or waiting. Whatever happens, write it down so nothing slips.
Tips for the call
- Say your business name first. They may have enquired with several firms.
- Mention the job they asked about so they know you have read it.
- Offer a specific time, not "whenever suits".
- If you get voicemail, do not leave a long message. Hang up and send the WhatsApp.
If the enquiry sounds urgent, like a leak or a lockout, skip the message and keep ringing. Urgent customers rarely wait for a text.
Message templates you can copy
Good follow-up messages are short, specific and easy to answer. Here are the ones we use, with the details swapped for yours. Change the wording so it sounds like you.
Why these work
- They name the job, so they read like a person wrote them.
- Each one asks a single, easy question.
- None of them push. They make saying yes simple.
This is where WhatsApp Business for trades earns its keep. You can save each one as a quick reply and bring it up by typing a short shortcut. That alone saves a lot of typing on busy days.
The follow-up timeline: day 0 to day 7
Not every customer replies first time. They get busy, they compare quotes, they forget. A short, steady chase picks up the ones who were interested all along. Here is the rhythm we use.
Day 0: ring and message
Call within minutes. If no answer, send the first WhatsApp straight away.
Day 1: a second try
Ring again at a different time of day. Many people only pick up after work.
Day 2 or 3: send the quote
If you have visited or priced the job, send the quote in writing and ask if they have questions.
Day 5: a gentle reminder
One short message checking they got everything. Offer to hold a date.
Day 7: the last message
Say you will close the enquiry for now and they are welcome to message any time.
When to stop
Stop after the day 7 message, or sooner if they say no, ask you to stop or tell you they have booked someone else. Chasing beyond that costs you goodwill and can put people off for good. A polite exit leaves the door open for next time.
Tracking where each lead is makes this far easier. A simple board with new, contacted, quoted and booked is enough, and our CRM and follow-up automation keeps it up to date for you.
Automating it when you are on the tools
Here is the honest problem. The leads arrive while you are up a ladder, under a van or in the middle of a job. You cannot ring back in five minutes, and you should not be glued to your phone on site.
Automation covers the gap. It does the quick, repetitive parts so you only step in for the human bits.
What can be automated
- An instant WhatsApp alert to you with the lead's details.
- A first reply to the customer saying you have their enquiry and will be in touch.
- Reminders to you when a lead has not been contacted.
- The day 2, day 5 and day 7 chase messages, stopping if the customer replies.
- Booking confirmations and appointment reminders.
What you should keep for yourself
The call. Pricing the job. Anything that needs judgement. Automation is there to make sure no lead goes cold. It is not there to replace you.
This is what we run on our own exterior cleaning business, and it is what we set up for clients. Leads come in from ads, land on WhatsApp in seconds and sit in a simple pipeline. Our follow-up automation does the chasing. Trades that take lots of enquiries, such as removals firms, feel the difference quickly because quotes are time sensitive.
Missed calls: text them back
Plenty of enquiries come by phone, and you cannot answer when your hands are full. Many callers will not leave a voicemail. They simply ring the next firm on the list.
A missed-call text back fixes this. When a call goes unanswered, the caller gets a text within moments saying sorry, you are on a job, and asking what they need. Their reply lands on your phone with the details.
Missed call 10:42
Hi, sorry we missed your call, we are out on a job. What do you need doing and where? We will ring you back shortly.
Hi, gutter clear on a semi in Witham please
Thanks. We will call you before 2pm to book it in.
What makes a good text back
- It sounds like you, in your business name.
- It apologises briefly and says you are out on a job.
- It asks what they need and where, so you can plan your call.
- It promises a call back, and you keep that promise.
Our missed-call text back sets this up on your existing number. For busy trades that cannot cover the phone all day, an AI phone receptionist can answer the call itself and send you the job details on WhatsApp.
Put the playbook to work
You now have the full routine: instant alert, call first, WhatsApp if no answer, a week of polite chasing and automation for the rest. Doing it by hand works for a while. Most owners find it slips as soon as the diary fills up, which is when it matters most.
We build this for service businesses alongside our Facebook and Instagram ads and lead generation work. We test it on our own firm first. You get the alerts, the templates and the follow-up already set up for your services and postcodes, usually live within 7 days.
- We run our own service business

Questions about following up leads
How fast should I reply to a new lead?
As fast as you can. Aim for a call within five minutes of the enquiry landing, and a WhatsApp straight after if they do not pick up. There is no magic number, but every hour you wait gives a rival firm more time to get there first.
Is it okay to message customers on WhatsApp for my trade business?
Yes, when they have just asked you for a quote and given you their number. Keep it to the job they asked about, be honest about who you are, and stop if they ask you to. Marketing messages to people who have not enquired are a different matter and need proper consent.
Should I use WhatsApp or the WhatsApp Business app?
The free WhatsApp Business app suits most one-van and small-team firms. It gives you a business name, quick replies and labels. Bigger teams that want automation usually connect it through a CRM instead.
How many times should I chase a lead?
On our own leads, most bookings come from the first call and the first reply, with a few more from a short, polite chase over about a week. After that, stop. Our CRM follow-up automation runs that sequence for you and stops the moment they reply.
What if I am on a roof or under a sink when the lead comes in?
That is exactly what automation is for. The lead alert reaches your phone with the details, and a missed-call text back or automatic first reply tells the customer you will be in touch shortly. You then call when you are off the tools.
Can I set all this up myself?
You can set up the basics yourself with the free WhatsApp Business app. Connecting your ads, forms and missed calls so everything lands in one place takes more work. That is what we build on a free call. See how it works.
